What we collect, why, and what we don't do with it.
Who we are. Virtual Receptionist Desk is operated by Jaigirdar Capital LLC, Philadelphia, Pennsylvania. Contact: hello@virtualreceptionistdesk.com.
If you fill in the contact form we store what you typed — name, company, phone, email, trade and message — along with the page you sent it from, the time, and your IP address, so we can reply and stop abuse. Fonts are loaded from Google Fonts, which receives your IP address as part of serving them.
We do not run advertising trackers on this website.
When you become a customer, the receptionist records the calls it answers and stores a transcript, a summary, the caller's number and the details the caller gives (typically name, address, and what they need). This is the product: it exists so you can hear and read what your customers said. Recordings are available to you and to the members of our team who set up and maintain your account. Where the law requires it, the receptionist tells callers the call is recorded.
We send text messages about appointments and about your own account. Three kinds: the details of a booking we took for you; the details of a booking we took from you when you called one of our customers; and service messages about your account — that your receptionist is live and the code to dial to set it up, that payment is due, and, when you cancel, the code to dial to turn call forwarding back off on your phone. We do not send marketing or promotional texts on this number.
You opt in by saying so on a recorded phone call. Near the end of the call the receptionist reads back the number it will send to — normally the number you are calling from — and asks whether to text you the details. Nothing is sent unless you say yes. We never add a number from a purchased list, from this website's contact form, or from anywhere other than a call you took part in.
Message frequency depends on how many appointments are booked; most people get one message per appointment. Message and data rates may apply. Reply STOP to any message to opt out, and you will get one confirmation and nothing after that. Reply HELP for help, or email hello@virtualreceptionistdesk.com.
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. Providers that carry the messages for us are covered below.
We use third-party providers to run the phone line, the voice model, the calendar connection and email. They process data on our behalf to deliver the service and are not permitted to use it for their own purposes. We do not sell personal information, and we do not share your customers' details with anyone but you.
Contact-form messages are kept as long as we're in a conversation with you.
Call recordings and transcripts are kept for up to a year while your account is active, and deleted within 90 days of cancellation — from our systems and from the voice provider that holds the audio. If you call our demo line without becoming a customer, that recording is deleted within 90 days of the call. Ask us and we'll delete anything sooner.
Email hello@virtualreceptionistdesk.com to see, correct or delete anything we hold about you or your business. We'll respond within 30 days.
